ROLE SUMMARY

The Administrative Assistant is the first contact for Clients, guests and funders accessing the centre via email or telephone. The Administrative Assistant is responsible for administrative tasks including, but not limited to: Mobius data entry; managing program inquiries; answering phones; general correspondence; word processing; monitoring office supply inventory; ordering Client assessments, courses and resource material; and assisting team members to book appointments.

The Administrative Assistant is also responsible for assisting with the coordination of employer activities/events within the Centre and collecting information on community resources for Clients.

RESPONSIBILITIES

  • Answer and direct all incoming phone calls and provide detailed information to callers about the program
  • Answer and direct all emails coming to centralized email account for the program
  • Book Clients into Intake Coordinator’s and Employer Engagement Specialist’s daily schedule
  • Assist Centre Manager with compiling data to create and distribute reports
  • Notify staff when their appointment has arrived, rebooked or cancelled appointments
  • Create and maintain Client files
  • Enter notes onto Client’s file
  • Create internal administrative office forms, Client files and informal signage as required
  • Provide word processing of correspondence, résumés, forms, reports and workshop materials as required
  • Assist Clients with operating office equipment (fax, copier, printer) for the purpose of job search
  • Data enter Client information into the Minister’s tracking system, Mobius
  • Take detailed information on job leads from employers over the phone and in person
  • Develop and update a directory of local, up-to-date community services as well as information from community service organizations that may be useful to Clients
  • Balance monthly bank statements and petty cash and complete reports to submit to Support Centre
  • Monitor office supplies and Client resource area inventory
  • Maintain Client resource area job boards
  • Liaise with building maintenance and service personnel to resolve building maintenance issues and telephone system maintenance
  • Coordinate Client and employer group activities/events as needed
  • Update the LevelUp Facebook page daily with relevant job search links, community events, inspirational memes, etc.
  • Other duties as required

QUALIFICATIONS

Require d:

  • 3-5 years’ administrative and customer service experience, preferably in the employment industry
  • Excellent customer service skills
  • Knowledge of the local labour market, community resources and government social service programs
  • Excellent administrative and organizational skills
  • Ability to multitask, prioritize and work independently
  • Strong communication and computer skills (Word, Excel, Outlook)
  • Good interpersonal skills coupled with strong verbal and written communication skills
  • Solid understanding of confidentiality and other professional codes of conduct; must submit for a criminal record check
  • Knowledge of social media and demonstrated experience using Facebook for business marketing is considered an asset

Education:

  • Post - secondary education (university degree or college diploma) and/or combination of equivalent relevant education and experience
